POSITION ANNOUNCEMENT
TITLE:Area Office Administrative Supervisor
SALARY: $30,912 annually
SUPERVISOR: Assistant CEO
LOCATION: Portland, Oregon
MINIMUM REQUIREMENTS: Bachelor s
degree, and two years of supervisory experience
in a service-oriented office setting; or an
associates degree, and two years of supervisory
experience in a service-oriented office setting,
plus two years general office experience; or a
high school diploma (GED) and two years of
supervisory experience in a service-oriented
office setting, plus four years general office
experience. Knowledge of the Indian community
and local resources, and possess ability to work
with the Indian people. Must have working
knowledge of computers, applications, and office
equipment. Word processing, spreadsheets, and
data base management. Ability to speak to large
and small groups and to facilitate meetings with
staff and community. Must be familiar with the
Total Quality Management approach to problem
solving. Ability to work and communicate
effectively with staff, clients, community
members, and tribal administration. Ability to
show initiative, resourcefulness and tact in
obtaining, communicating and coordinating
information. Must possess a valid Oregon
driver s license, private vehicle insurance, and
reliable transportation.
RESPONSIBILITIES/DUTIES: Assist tribal
administration by organizing, assigning, and
monitoring day-to-day coordination of area
office. Assistance includes training of and
coordination with office employees to provide
efficient functioning within established
procedures and guidelines. Requires
confidentiality, judgment, and initiative.
Supervises local staff, coordinates office
schedules to maintain coverage, provides day-
to-day support for office staff. Resolves
problems that may arise relating to office
functions. Responsible for general office
functions, including signing time sheets, purchase
orders, check requests, etc. Coordination of multi­
disciplinary team case staffing and reviews for
clients. Provides assurance to program managers
that the staffing is occurring. Prepares and
distributes community newsletter. Maintains
communication with the Social Services,
Education, Community Health, Alcohol and Drug,
Job Training Partnership Act and Head Start
program managers to assure quality program
guidance. Assists tribal program managers with
implementing employee development plans,
budgets, program guidelines, program evaluations,
employee evaluations, etc. Acts as liaison for
tribal administration between office and other
programs. When necessary, be able to speak to
large and small community groups. Assists
assistant CEO with the negotiations for building
lease, office equipment, etc. Assists tribal
members and program clients in receiving
services by making referrals to appropriate
programs. Organizes and assigns work to office
personnel and monitors workflow to see that
deadlines are met. Coordinates tribal/community
meetings, dinners, etc. Coordinates use of tribal
vehicles for staff by maintaining a sign-out log
and schedule of vehicle use. Provides input on
program planning and budgeting. Develops
annual budget for self and secretarial staff.
Coordinates with staff and program managers
for approvals of leave and travel authorizations.
Acts as safety committee liaison for office and
staff. Ensures that the office setting is a safe
work environment, and communicates with staff
to complete accident forms in the event an
accident occurs. Maintains keys and
accountability of area office keys. Coordinates
recycling of paper and other materials in an area
office. Coordinates the excess of surplus property
with the property and procurement officer.
Participates in the selection, hiring and
termination of employees. Other duties and
special projects that may be assigned.

MINIMUM REQUIREMENTS: Bachelor s
degree in planning, public administration,
business, or related field, and four years of
experience in the planning field. Preference will
be given to applicants with prior tribal planning
experience. Ability to draft descriptive factual
background memorandum or summaries.
Includes technical writing and editing skills, with
ability to apply those skills to a wide variety of
projects. Demonstrated grant-writing skills.
Demonstrated analytical skills and creative ability.
Ability to effectively coordinate people and
projects. Ability to identify goals, objectives, and
resources. Basic knowledge of planning in such
areas as geography, economics, political science,
engineering, architecture, sociology, economic
development, and public administration. Ability
to formulate and evaluate plans to reach goals
and objectives. Working knowledge of computer
word processing, spreadsheet, database, and
presentation software. Must be a well-organized
self-starter with the ability to communicate
effectively (orally and in writing) and to work
well with others. Ability to relate the effect of
planning decisions on the mission and goals of
the tribe.
RESPONSIBILITIES/DUTIES: Advise and
assist tribal administration and programs to
establish goals, priorities, policies, programs,
organizations, regulations, and procedures in such
areas as the pattern of land use, transportation,
housing, utilities, public safety, health services,
social services, and economic development.
Coordinate planning activities for, and between,
tribal programs. This includes locating funding
sources, assisting with preparation and submission
of grant applications, and budget preparation.
Also includes providing technical assistance and
final review of grant applications submitted by
program staff. Maintains an overview and
evaluates policies and planning activities. Makes
appropriate updates or suggests other
approaches. Establishes and carries out
economic development strategies. Monitors tribal
planning documents, such as the Comprehensive
Plan, Reservation Plan, and Transportation Plan
to ensure that goals and objectives are being met.
Collects, assembles, and analyzes data and
prepares appropriate reports. Identifies problems,
participates in tribal meetings to plan innovative
new programs that will improve economic and
living standards for the Siletz Tribe and its
members. Presents information and findings,
along with recommendations, to tribal
administration. Other duties as assigned.
